When it comes to product data management in engineering and manufacturing, Autodesk Vault provides robust tools to control, organize, and optimize your digital assets. A fundamental decision in Vault administration is whether to use file-based workflows or item-based workflows. What’s the difference?
File-based vs. item-based workflows
File-based workflows
Autodesk Vault assigns lifecycles and permissions directly to individual files, such as CAD drawings, assemblies, or supporting documents. Each file can have its own revision and lifecycle state.
Item-based workflows
By contrast, introduce the concept of an “item”, essentially a digital container or folder that represents a product or assembly. Items can contain multiple files, and the lifecycle, revision scheme, and metadata are managed at the item (container) level, not the file level.
When to use item-based workflows
Items are especially useful when working with Autodesk Inventor assemblies, AutoCAD Mechanical drawings, or AutoCAD Electrical projects, any files that natively contain Bill of Materials (BOM) information. Item-based workflows allow you to:
- Attach the BOM and quantity information to items
- Easily view which parts and sub-assemblies belong to a top-level product
- Assign metadata, revision schemes, and lifecycle states to the item as a whole
- See BOM details and quantities without opening the CAD files
For example, when you assign a lifecycle to an item, Vault creates a record for the parent assembly and all its children, allowing you to manage revisions, state changes, and metadata centrally. This approach is particularly helpful for purchasing, production planning, or ERP integration, where BOM information and part quantities are critical.
When to use file-based workflows
File-based workflows are ideal if your team manages documents that don’t require BOM data or centralized item control. They offer flexibility for:
- Assigning lifecycles and permissions at the individual file level
- Leveraging Vault’s Job Processor to automate tasks like PDF or STEP file creation, metadata synchronization, or visualization file updates (these automations work only on file-based lifecycles out of the box)
- Managing revision control for unique documents, drawings, or non-assembly files
If you require automation (such as auto-generating PDFs or syncing metadata when a file moves from Work in Progress to Released), file-based workflows are a better option.

- BOM Information: If you need to manage and track BOM data, use item-based workflows for the best experience.
- Lifecycle Control: Choose file-based workflows if you want granular control over individual files, or if your automation processes rely on Vault’s Job Processor.
- Automation: File-based workflows support Vault’s built-in automation for file processing. Item-based workflows do not natively support these features, though third-party solutions can help bridge the gap.
- Revision and State Management: Items provide a centralized approach, while files offer detailed, file-specific control.
- User Experience: Items provide a single point to manage all related files, while file workflows provide more direct, flexible file management.
Practical examples
Item-based workflow example
An Inventor assembly containing several subcomponents is checked into Vault. The entire BOM, along with quantities for each subcomponent, is visible from the item record. Lifecycle states, revisions, and metadata are all managed from the item level.
File-based workflow example
Individual CAD drawings or documents, each requiring its own revision and approval workflow, are checked into Vault. Each file can move independently through its lifecycle, and PDF creation is automated on release via the Job Processor.
Special features and limitations
- Watermarks: Items can automatically add watermarks to drawings when viewed or printed, preventing confusion between in-progress and released versions.
- Mixed Environments: Vault supports both file-based and item-based workflows within the same environment, but a single file cannot be assigned to both workflows at once.
- Custom Integrations: Third-party add-ons can extend item workflows with automation not available out of the box.
